How to Schedule Manual Emails on SuperReach

How to create a follow up email for prospects.

The ‘Schedule Manual Emails’ feature enables you to be more versatile when interacting with your prospects. Whether or not a prospect is in a sequence, this feature allows you to send them one-off emails at a date and time of your choosing.


1. Accessing the ‘Manual Email’ Feature:

Contact Drawer:

  • If you are viewing the SuperReach profile for one of your prospects (whether via the desktop version or the Chrome extension), simply locate and click the orange ‘Email’ icon and the ‘Compose Email’ window will appear.


2. Composing a Manual Email:

  • When composing this email, you have the option to use one of your existing templates to form the content of the email. Alternatively, you can write a new email. Click on ‘To’ in order to select the intended recipient email address associated with your contact and remember to include a subject line. At this stage, you can also choose to attach a file.

  • When composing the email, you also have the option to schedule an action to occur in the instance that you do not get a reply back. These actions can either be automatically enrolling the contact into a sequence of your choosing, or SuperReach sending you a reminder to follow up with them. You can choose how many days you want to wait after not receiving a reply before triggering your chosen action.


3. Scheduling the Send:

  • After composing your email, you can now go ahead and select the date and time you want this email to be sent by clicking the calendar icon beside the ‘Send Email’ button. Any time-based replacement variables you include in your email will automatically correlate with the date and time you choose the email to be sent.

  • This feature allows you to be more versatile with your outreach strategy by enabling you to be reactive with your prospects. Manual emails can be scheduled for both contacts that are currently in a sequence as well as those that aren’t.


4. Preview your Scheduled Emails:

  • Once you have scheduled your manual email, and in the time leading up to when it is due to be sent, you can still review your scheduled emails in case you wish to make any last-minute changes or cancel the email if need be. This can be done by clicking "tasks" in the left navigation and the into manual emails.


Conditions for sending:

  • Please be aware there are a few settings that may override the scheduled manual emails:

    • If you have hit your email-sending limit for the day.

    • If the date selected falls during a scheduled custom holiday.

    • The date falls on a non-working day (selected in your profile outreach settings).

  • In any of these cases, the email will be scheduled for the next set working day on your account.
